Terms of Service

Effective date: 1 October 2026 · Last updated: 1 October 2026

1. Website purpose and acceptance

Braxen Folio provides information about AI automation, integrations, custom AI systems, knowledge systems, and ongoing optimization. These Terms govern access to this website and the use of its content and inquiry interface. By using the website, you agree to use it lawfully and in accordance with these Terms. If you do not agree, you should discontinue use. A project is governed by its separately accepted written agreement, proposal, or statement of work. Browsing the website or completing an inquiry does not by itself create a services contract.

2. Service information and project scope

Descriptions on this website explain the types of work Braxen Folio can scope. They do not promise that every described feature will be included in every project. The applicable agreement should identify deliverables, milestones, acceptance criteria, client responsibilities, exclusions, and any ongoing service coverage. Requirements can differ by workflow, data quality, available API access, technical environment, and operational constraints. A recommendation to proceed with an audit or implementation depends on the information available for that project.

3. Prices, proposals, and payment

Published price ranges are indicative, stated in United States dollars, and provided to help visitors assess potential project scale. They are not binding offers. A plus sign indicates that larger scopes may cost more than the listed upper figure. A monthly designation indicates a recurring service rather than a one-time implementation. Final fees, taxes where applicable, deposits, payment milestones, billing dates, and payment methods are defined in the accepted agreement or invoice. Model usage, software subscriptions, hosting, and other third-party charges are separate unless expressly included. No payment is collected through this website’s inquiry interface.

4. Inquiries and contact information

Please provide accurate information and use an email address you are authorized to provide. Do not enter passwords, access tokens, payment credentials, highly sensitive personal information, or confidential client records into the website inquiry interface. Completing the interface is an initial expression of interest, not a purchase, booking, guarantee of availability, or acceptance of a project. A browser confirmation indicates completion of the local interface. The parties must agree a project separately through an active communication channel and an accepted written scope.

5. Client responsibilities and access

A client must have the rights and authority to provide the materials, instructions, system access, and data used in a project. The client should identify relevant restrictions, internal policies, and regulatory obligations before work begins. Delays in access, approvals, information, or third-party cooperation can affect the schedule and agreed scope. The client remains responsible for the accuracy of its source data and for decisions made by its personnel. Any access to production systems, customer data, or confidential material should follow the safeguards and permissions agreed for the engagement.

6. AI output, review, and operational limits

AI systems can produce incomplete, inaccurate, inconsistent, or outdated output. They can also behave differently when inputs, models, or connected tools change. A project should define the intended task, review steps, approval requirements, and circumstances in which the system must escalate to a person. Website descriptions do not guarantee error-free operation, a particular financial result, a specific level of time savings, or suitability for every use case. Important operational decisions should be checked against authoritative information and the relevant business requirements. AI output is not a substitute for qualified legal, medical, financial, or other regulated professional advice.

7. Third-party tools and dependencies

Services may depend on software providers, model providers, APIs, cloud services, and business systems selected or approved for the project. Those providers control their own availability, functionality, pricing, data practices, and terms. Changes in their services can require configuration updates or additional work. Braxen Folio does not control third-party outages or policy changes. Responsibility for subscriptions, credentials, usage limits, permissions, and provider charges should be allocated in the project agreement. A mention of a category such as CRM or ERP does not claim a partnership, endorsement, or certification.

8. Changes, cancellation, and refunds

The written project agreement controls changes to scope, scheduling, cancellation, termination, and any refund arrangements. A change that affects deliverables, cost, or timing should be recorded and accepted before the additional work is undertaken. This website does not create an automatic entitlement to a refund or an obligation to pay a project fee. Any amount payable for completed work, committed external costs, or reserved service capacity must be supported by the applicable agreement and applicable law. Mandatory statutory rights are not limited by these Terms.

9. Intellectual property and confidentiality

Website text, branding, graphics, code, and other original materials are protected by applicable intellectual property laws. You may view the website for legitimate informational purposes but may not copy or reuse protected materials for misleading, infringing, or unauthorized commercial purposes. Ownership of custom deliverables, reusable components, configuration, documentation, and client-supplied material must be addressed in the project agreement. Confidentiality obligations and any permission to use information with a third-party AI provider must also be agreed for the engagement. Nothing on this website gives a visitor rights to another party’s trademarks or proprietary systems.

10. Acceptable use

You must not attempt to access restricted systems, bypass security controls, introduce malicious code, disrupt the website, scrape personal information, impersonate another person, or submit material you have no right to use. You must not use the website or any related engagement to facilitate unlawful activity. Reasonable technical measures may be used to protect the website and investigate misuse. Access may be restricted where necessary to address a security or legal concern, subject to applicable law and any separate contractual obligations.

11. Website availability and liability

Website content may be updated, corrected, or removed. Although care is taken in preparing it, the website may contain errors or become unavailable. To the extent permitted by law, the website and general informational content are provided as available without a promise of uninterrupted access or fitness for a particular purpose. Any limitation of liability for contracted services must be stated in the applicable project agreement. These Terms do not exclude liability that cannot lawfully be excluded or restrict non-waivable consumer rights. Visitors should not treat illustrative interfaces or marked review drafts as evidence of completed work or genuine client endorsements.

12. Privacy and cookies

Personal information and website technologies are described in the Privacy Policy and Cookie Policy. Hosting, theme settings, and installed applications can affect the information processed when you visit. These Terms do not authorize the use of client data for a purpose that requires a separate agreement, notice, or lawful basis. Project-specific processing obligations, including any need for a data processing agreement, should be settled before client information is accessed.

13. Governing law, changes, and questions

These website Terms are governed by the laws of Kentucky and applicable United States federal law, without displacing mandatory protections that apply to you. A separate project agreement may specify its own dispute-resolution arrangements. Please raise a concern through the contact details below so it can be considered before a dispute escalates. Updated Terms will be published with a revised date; changes to a signed agreement require the mechanism stated in that agreement. If a provision is unenforceable, the remaining provisions continue to apply to the extent lawful.
